Executive Secretary-Board Clerk $4,642 - $5,642/ Month
The SBCAPCD is conducting a recruitment for a full time Executive
Secretary-Board Clerk. This is a single position class characterized by
varied office coordination, secretarial, clerical, and administrative
tasks normally performed with a relatively high level of independence.
This class is differentiated from other clerical classes by its more
varied responsibilities and its involvement with APCD policy making
bodies.
The Position
Under direction, performs a wide variety of responsible and
complex duties related to office coordination, secretarial duties
and administrative tasks in support of the Air Pollution Control
Officer his/her management staff and the APCD Board and policy
making bodies; compiles Board, Hearing Board, Community Advisory
Council & other agendas; prepares and organizes the agenda packet
for review and duplication; coordinates finalization, distribution,
mailing and posting of agenda materials; coordinates, schedules and
attends Board meetings and public meetings and hearings; takes
comprehensive notes of actions taken, summarizes actions in written
form; composes and types “action” minutes; arranges for public
noticing of meetings and audio and video taping of meetings;
identifies and collects documents that are a part of the record of
the proceeding; composes correspondence to affected parties; codes
documents for filing; certifies agency records; may supervise
clerical and reception staff; performs related work as assigned.
The Ideal Candidate
The ideal candidate will be able to perform multiple and varied
tasks under specific deadlines and with constant interruptions which
change the planned work schedule; will have experience providing direct
and confidential secretarial support to executive and other management
staff; be able to maintain executive calendar, as well as make travel
and meeting arrangements; have experience in records management
including maintaining an up-to-date file index and system, storage
retrieval, and destruction of files. The ideal candidate will be
skilled at preparing correspondence from verbal instruction or
hand-written copy; initiating routine correspondence in accordance with
established policy and procedures; typing complex reports, documents,
and other materials from a variety of sources; facilitating transmission
of information to other offices and agencies. The Executive
Secretary-Board Clerk is a confidential non-represented position and the
successful incumbent will be able to maintain sensitive and/or
confidential information on a routine basis.
Qualifications
Any combination of education and/or experience that has provided
the knowledge, skills, and abilities necessary for acceptable job
performance. Example combinations include equivalent to graduation from
high school and four years of increasingly responsible secretarial
experience involving administrative responsibilities of a highly
sensitive nature and contact with the public, including or supplemented
by specialized training in the clerical/secretarial occupational field
as well as experience with public policy making bodies and/or Clerk of
the Board activities.
Other Requirements
Possession of a valid California driver’s license.

All applications will be reviewed and screened based on necessary
employment standards for the position. Applicants that best meet the
minimum employment standards as determined by the application
and supplemental application will be invited to participate in a
written and oral exam scheduled for the week of April 12, 2010.
Candidates’ rank on the eligibility list will be determined by
scores obtained on the written (30%) and oral exam (70%). Qualified applicants will be
placed on an eligibility list that will remain in effect six
months from the date the list is established.
